The Community Programs & Events Coordinator assesses community needs, plans, coordinates, implements, and evaluates programs and events for the community to provide recreational opportunities that encourage a high quality of life for all Devon residents. This position establishes leadership and capacity building opportunities through collaboration with local groups and schools.
Key Responsibilities
Develop & Implement Programs
• Coordinate seasonal programming, such as Day Camps and Summer Shack.
• Provide programming that contributes to the development of the social, emotional, behavioural, and physical capabilities of children, youth, adults, and seniors.
• Incorporate opportunities for youth mentorship in programs.
• Work with individual, community organizations and schools in the development and implementation of programs and services.
• Continually evaluate and monitor programs and activities to ensure that overall department and community goals and needs are being met.
Coordinate & Execute Special Events
• Coordinate annual Special Events such as Winter Walk Day, Family Day, Pitch In Devon, Pride by the River, Devon Days Kick Off BBQ, Canada Day, Downtown Markets, Community Awareness, Halloween, Christmas in the Park, and others as assigned.
• Work alongside the 75th Anniversary Committee to plan Devon’s 75th Anniversary event in 2025.
• Ability to take on a leadership role on event Committees, including Christmas in the Park and the 75th Anniversary.
• Apply strategies for effective committee governance, volunteer recruitment, event development, risk management, budgets, fundraising & financial management, operational communication, marketing & communication, and evaluation.
• Development of signature events that are sustainable, promote a sense of community and community inclusion, provide an opportunity to showcase Devon, meet a community need, and deliver on economic impact.
Community Development, Partnerships & Capacity Building
• Build relationships with internal and external individuals, partners, community groups and agencies to assist in the development of programs and events.
• Review and administer community event grants.
• Collaborate and coordinate with community event grant recipients to follow through on financial, in kind, and support deliverables (ie. Road closures, event supplies).
• Create an environment that encourages the community to become more involved in the development and delivery of programs.
• Liaise with local, regional, and provincial organizations to ensure that Council and staff are aware of needs, trends, and best practices.
• Interdepartmental and intradepartmental collaboration on projects.
Human Resource & Staff Management
• Recruitment, retention, development, supervision, and performance evaluation of summer program staff and volunteers (3 staff, 6-12 volunteers)
• Develop and ensure compliance with camp procedures and policies, health and safety training, and other training that camp staff may require while creating an environment of support for staff and volunteers.
Communication, Public Relations & Promotions
• Coordinate the seasonal Program Guide, working with a contracted graphic designer.
• Facilitate the development of a marketing, promotion, and communications plan to promote programs and community events using both traditional and contemporary tools.
• Coordinate and monitor use of online registration software (RecDesk) for all program registrations.
• Collaborate with the Communications Coordinator to create weekly Instagram content.
Leadership & Strategic Direction
• Work collaboratively with the Manager of Parks, Recreation, & Culture to develop a recreation work plan that identifies priorities, activities, and timelines.
• Assist in annual budget preparation; monitor expenditures, analyze costs, and ensure expenditures are within annual authorized limits, seek new ways to generate revenue.
• Reflect, adhere to and support council priorities.
• Monthly reports to Council and briefings/RFD’s as required.
Qualifications
Education:
• Post secondary education related to recreation, education, or marketing.
• Valid First Aid/CPR-AED
Experience:
• Minimum of three (3) years of related experience with demonstrated background in recreation program development, events planning, marketing, and communication.
• Demonstrated experience in project management, communication, report writing, problem solving, public speaking, and public relations.
• Strong volunteer management skills.
• Demonstrated fundraising and sponsorship skills and capacity.
• Experience with report writing and Council presentations an asset.
• Time management and priority setting skills as well as the ability to see projects through from conceptualization to completion.
• Ability to think and act strategically as well as foster a positive productive work environment in both the individual and team settings.
• Proficiency in Windows, Microsoft Office applications, internet, and social media must be demonstrated.
Start Date: April 8, 2024
End Date: October 3, 2025
Hours of work: 37.5 hours per week; typical hours for this position are Monday to Friday between 8:30am-4:30pm. This position requires the ability to work evenings and weekends for Town of Devon events and meetings.
Salary: $34.20 (hourly)
